Billing Migration & Auditing

A tool for migrating company and billing information for tens of thousands of clients to a new billing engine, ensuring the complete and accurate transfer of that data, and auditing the ongoing transmission of data for all billing from the new system.

The move toward standalone products which dodn't require a client to use Paylocity's payroll services meant that the billing and invoicing of clients also had to be done independent of payroll processing.

There were two parts to this project:

1. Data Migration
2. Ongoing Data Auditing

Migrating our data away from legacy systems and processes required new tools for actually moving the data in small, strategic batches to the new system, but it also required checking each step of the way that all was complete and accurate to avoid fallouts or errors.

Once migrated, invoicing our clients through the new billing engine required daily audits to compare billing event output at each repository to be sure that all everything was complete and accurate. While offline workarounds had been established, our job was to automate as much as possible and provide digital solutions that would continue to ensure accuracy and greatly improve effeciency for stakeholders, operations team members, and auditors.

• I was the sole product designer on this team working with a fantastic product owner and team of developers.
• My involvement began during the discovery phase of the project but with existing, offline processes in place that the engineering team had already begun to build databases and back-end architecture for.
• I helped define our creative brief, gather requirements through interviews, and diagram processes in live and asynchronous working sessions.
• Prototype created in Figma.
